Library Management

The library feature provides a robust and efficient way for you to manage and maintain your digital content, including documents, images, and videos. This feature allows for easy addition of new content and removal of outdated or irrelevant information, ensuring your library remains organized and up-to-date. These libraries can be used as knowledge sources while querying on the digital assistant to ground the responses as per the selected library.

How to Manage your Libraries

The Library feature provides robust content management functionality, allowing you to upload, edit, and manage your content effectively so that they can be shared with users of your tenant. All users are eligible to upload and manage libraries at team level.

Uploading New Files

To upload a new file at the Team Level, follow the below steps:

  1. Navigate to the relevant "Team" section within the Library. Library Management
  2. Click on the "New" button. Library Management
  3. A form will appear, prompting you to:
    • Choose the file(s) to upload. You can choose from either a document, video or image file. Library Management
    • Add relevant tags to categorize the file. Library Management
  4. Click "Submit". The file will then be uploaded to the respective Team level library. Library Management

Important Considerations for File Uploads

Files can be uploaded at different levels within the system: Platform Level and Team Level. Access to upload at these levels is determined by user roles.

  • Platform Level: Only System/Platform Admins have the privilege to upload files at the Platform Level. This ensures that core system-wide content is managed by authorized personnel.
  • Team Level: Normal Users and Admins (Tenant Admins) can upload files at the Team Level. This allows teams and tenants to manage their specific content independently.

Allowed File Formats

The Library Management System supports a wide range of file formats across different categories to accommodate various types of content. Please refer to the table below for a comprehensive list of supported extensions for each category.

When uploading files, please ensure they adhere to these supported formats to guarantee successful processing and accessibility within the library.

Editing Files

You can edit and personalize your existing team library files to suit your exact requirements by clicking the Edit icon on the library content. (Platform content cannot be edited).

To edit a file:

  1. Locate the file you wish to edit within the library. Library Management
  2. On the file's card, click on the "Edit" option. Library Management
  3. You will be redirected to a form where you can update the associated tags. Changing the file itself or the file type is not permitted. Library Management
  4. Click "Submit" to save your changes. Library Management

Important Considerations for Editing Files

  • Team Level Edits: You can edit files that were created and are available at your tenant/team level.
  • Platform Level Edits: Files available at the platform level (system-wide templates) can only be edited by system/platform admins.

Deleting Files

Files can be deleted from the library if they are no longer needed or are outdated.

To delete a file:

  1. Locate the file you wish to delete within the library. Library Management
  2. Click the "Delete" icon asociated with that file. Library Management
  3. Upon clicking delete, a confirmation message will appear, asking you to confirm the deletion. Library Management
  4. If you confirm, the file will be permanently deleted from the library. Library Management

Important Considerations for File Deletion

  • Team Level Deletion: You can delete files that were created and are available at your tenant/team level.
  • Platform Level Deletion: Files available at the platform level (system-wide templates) can only be deleted by system/platform admins.
